Event Manager

Job Descirption

The Event Manager plans and executes sponsored events for clients, primarily federal agencies, with a focus on recruitment. This role requires travel and close collaboration with agency and client stakeholders to deliver high-quality events aligned with client objectives.

Supervisory Responsibilities

  • Leads the account workstream, assigning and managing tasks within an integrated team of event and marketing specialists.
  • Utilizes project management tools to ensure task visibility, accountability, and seamless execution.

Duties and Responsibilities

  • Event Planning & Coordination
    • Serves as the primary outreach and event point of contact for the client, working closely with the Account Director.
    • Develops sponsorship package recommendations for expos and conventions based on client goals.
    • Identifies and recommends new event opportunities.
    • Assesses the success of past events and evaluates client-suggested opportunities.
    • Creates and manages event planning timelines, delegating logistics tasks via project management tools.
  • Event Administration & Execution
    • Oversees event logistics, including event registration, vendor coordination, travel arrangements, booth setup, show service orders, and printed materials procurement.
    • Reviews contracts and handles all necessary paperwork specific to each event.
    • Develops, orders, and ships event materials.
    • Manages all deliverables related to event sponsorships in collaboration with the client and account team, including creative needs such as flyers, social posts, digital and print ads, speaking engagements, logo submissions, demos, and other event components.
    • Provides on-site support and strategic expertise during events.
  • Client Relations & Reporting
    • Leads client-facing calls, including event kick-offs, planning meetings, and post-event debriefs.
    • Builds strong client relationships, fostering trust and subject matter expertise.
    • Manages event budgets, reconciles invoices, and prepares detailed reports.
  • Team Leadership & Process Improvement
    • Conducts weekly status meetings with the internal outreach team.
    • Recommends and implements process improvements to enhance efficiency and event outcomes.

Knowledge, Skills, & Abilities

  • Exceptional communication and interpersonal skills with a customer-service mindset.
  • Strong organizational, time management, and leadership capabilities.
  • Proven analytical, problem-solving, and multitasking abilities.
  • Proficiency in Microsoft Office Suite; experience with Google Workspace and Asana is a plus.
  • Demonstrated success in corporate event planning, with the ability to perform under pressure.
  • Proven ability to manage budgets and expenses effectively.

Preferred Qualifications

  • Bachelor’s degree and three to five years of experience in planning and managing in-person and virtual events, specifically trade shows.
  • CMP, CGMP, or comparable event/project management certifications are highly desirable.
  • Experience in industries such as recruiting, marketing, branding, or federal government.
  • Expertise in tradeshow and/or convention services.
